PRIVACY POLICY

Who we are

The Queensland Local Government Reform Alliance Inc. (QLGRA) is a non-partisan statewide alliance of peak bodies, groups and individuals untied in the common goal of reforming the Local Government and Planning Legislation and processes, for the re-empowering of Queensland Local Communities by improving representation and governance standards in all areas of local government.

The QLGRA currently has two domains being;

  • qlgra.org.au
  • qlgralliance.org.au

Our Commitment

The QLGRA, recognises that your Personal Information is personal.

The QLGRA will not treat your information as a commercial product by selling, trading, giving or renting any of your personal information to a third party for commercial purposes.

The QLGRA also values your time and attention and will not waste your time and ours, by sending through unsolicited emails. 

The QLGRA will, to the best of our abilities, act ethically and morally with your Personal Information and seek to protect your privacy.

The QLGRA will only use your Personal Information for the primary purpose for which it was disclosed.

What is Personal Information

Personal Information is information or an opinion that identifies an individual.
Examples of Personal Information the QLGRA collects include: names, addresses, email addresses, phone, website and social media interactions.

Why do we collection Personal Information

The QLGRA collects Personal Information as part of our legal obligations, as well as, our advocacy and lobbying activities. 

At all times, the QLGRA will seek to protect your privacy and Personal Information to the best of our abilities, and commit to not using, or allowing others to use your Personal Information a commercial product.

In most cases, this Personal Information is volunteered by you. For example social media and website interactions, polls and surveys, membership, newsletter, mailing list and volunteering sign up information.

In some circumstances the QLGRA may obtain Personal Information not volunteered by you, but either publicly available or as part of standard website, social media and advocacy analytics. For example website, social media and communication analytics, and publicly available sources of information.

The following sections of this policy outline some of the areas that the QLGRA collects Personal Information, why we are collecting the information and how we plan to use it.

Website Analytics

In the course of normal website operations, information not capable of identifying you, may be automatically recorded. Examples of this information are; IP address, domain name, browser type, dates and times of access and details of website information downloaded. This information is used to measure the performance of the QLGRA website in relation to usability, design, and overall effectiveness as a platform for Queensland local communities lobbying and advocating for change. The QLGRA does not link your Ip Address with any other information you have submitted, so while your session may be tracked it is done so anonymously.

HOWEVER, to protect the personal information of legitimate users, the QLGRA reserves the right to gather and disclose information about attempted access to this website that raise security concerns to relevant authorities.

Website Cookies

This website may use cookies. In most cases cookies are used for user convenience to save typing in repetitive data, save display choices and in some cases passwords. Most internet browser, depending your on settings, will block or warn users in relation to cookies and can be used to manage cookies at the users discretion. There is a large amount of information available on the internet about cookies, how to manage or block them.

Website Comments

When users leave comments on the site, the QLGRA acquires data shown in the comments form. and also the user’s IP address and browser user agent string to help with spam detection. An anonymized string created from your email address (also called a hash) may be provided to the spam prevention services. After approval of your comment, your profile is visible to the public in the context of your comment. Comment metadata is retained indefinitely, and is used ongoing for the QLGRA to recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

Website Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Embedded Content from other Websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the user has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Website Login

For users that register on our website, the QLGRA also store the personal information provided in the user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Polls and Surveys

Information volunteered by you, through any polls or surveys, will be aggregated prior to release or publishing. Meaning personal information will be removed and responses will be collated into classes representative of the respondents, so that individuals and personal information is not identifiable.

Email Correspondence

The QLGRA will send emails relevant to subscriptions to the monthly newsletter, mailing list and /or campaign updates which may included information in relation to membership renewals and QLGRA events. In all cases the QLGRA values your time and attention to our correspondence and will make all attempts to limit the frequency and relevance of email correspondence to ensure that correspondence is of value to subscribers. Subscription to any of these services may be cancelled at anytime by emailing newsletter@qlgra.org.au.

The QLGRA uses an emailing platform called Mailchimp, due to the restrictions placed upon on email hosting. The priviacy policy for Mailchimp can be viewed at https://mailchimp.com/legal/privacy/.

Member Details

When applying for a membership with the QLGRA, the QLGRA is required to collect and retain your personal information being; full name, postal or residential address, and other details related to your membership as part of the QLGRA Register of Members. The Register of Members must be open for inspection upon request from a member, however the management committee may withhold information other than your full name when making the Register of Members available for inspection. In addition to this measure, the QLGRA, vet membership application prior to accepting members to protect the organisation and members as a whole. The Register of Members is only available to select management committee members as a further means of ensuring your Personal Information is protected.

Volunteer Details

When volunteering with the QLGRA, you will be asked to disclose personal information which will be recorded and kept as part of legal records and documentation for the QLGRA. The QLGRA is comprised completely of volunteers,  and as such the personal information of volunteers is treated similarly to members details in relation to security and confidentiality.

Disclosing Personal Information

The QLGRA commitment is that your Personal Information will not be disclosed except in the following cases;

  • where you consent to the disclosure,
  • where the QLGRA is legally obliged to disclose, and
  • where the QLGRA operational needs to disclose this information, such as in the case of our email platform, Mailchimp to enable vital services.

In the case that the QLGRA needs to disclose your Personal Information to enable vital services, only the necessary Personal Information will be disclosed, and only after the third party has been fully vetted to ensure that their privacy policy aligns with the QLGRA commitment to your privacy and management of Personal Information.

Security of Personal Information

The QLGRA takes steps to ensure that your Personal Information is stored in a manner that reasonably protects it from misuse,loss and from unauthorised access, modification or disclosure. When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information. However, some of your Personal Information is legally required to be kept by the QLGRA for a minimum of 7 years.

Access to your Personal Information

You may access the Personal Information the QLGRA holds about you, subjection to certain exceptions. If you wish to access your Personal Information, please contact the QLGRA in writing at secretary@qlgra.org.au. You can also request that the QLGRA erase any personal data held about you. This does not include any data the QLGRA are obliged to keep for administrative, legal or security purposes.

Maintaining the Quality of your Personal Information

It is important to the QLGRA  that you Personal Information is up to date. The QLGRA will take reasonable steps to make sure that your Personal Information is accurate, complete and up to date. If you find that the information the QLGRA has is not up to date or is inaccurate, please advise us as soon as practicable so we can update our records and ensure we can continue to remain in contact with you.
